Guide to Corporate Intern Housing

The Office of Residence Life at Ramapo College would like to welcome you to our campus. As you embark on your valuable internship opportunity it is our hope that our Summer housing facilities will serve to enhance your experience.

The following information is intended to provide you with some basic information regarding the services offered with housing at Ramapo College. Our website should provide answers to many questions you may have. Still have questions? Send us a message at corpintern@ramapo.edu. During the summer, the College’s regular operating hours are Monday through Thursday, from 9 AM to 5 PM.

In case of any emergency on campus, please contact the Public Safety Office at extension 6666 from a campus telephone line, or at 201-684-6666 from a non-campus phone. To call 911, from a campus telephone line dial 9-911.

Procedures

Check-In

Check in occurs in the Lodge, located in the center of the the College Park Apartments area (near the red building). Before check-in, Corporate Interns will receive their Housing Confirmation Notice, which has all of the information needed for check-in.

During check in, interns must do the following:

  • Present government issued photo ID to our staff (intern must be present for check-in)
  • Read and sign their check-in agreement online
  • Submit their $200 housing damage deposit check
  • Submit their rent check(s), based on our timeline

At check-in, interns receive the following:

  • A copy of their signed check-in agreement will be sent via e-mail.
  • An apartment access card (to be kept with the intern’s government issued ID, for identification purposes)
  • Internet access directions
  • Mailbox access information
  • Their suite inventory (delivered via email)

Once a check is submitted to the office for rent, we are unable to make any adjustments or prorate the check that has been submitted. Therefore, if you want to leave earlier in a month, we cannot adjust the rent payment.

The suite inventory is a condition assessment report of the intern’s housing assignment, and is used for purposes of damage billing. Directions are sent with the inventory, so that interns can message the staff if they need to update the inventory. If no damages or missing items are assessed in the intern’s living space, and all other billable charges are satisfied, the $200 damage deposit is voided and sent back to the intern’s on file address by October. Changes/updates to the address provided must be submitted via email to corpintern@ramapo.edu at least 14 calendar days prior to the scheduled mailing. 

Housing charges are based on a per-night rate of occupancy. There is a monetary penalty for interns who apply for housing at Ramapo and later decide not to attend. Due to increasing interest in the Corporate Intern Housing Program, we ask that any cancellation take place at least two weeks prior to the date of arrival. Cancellation after that date will result in the billing of a housing fee equivalent to two weeks rent.

Check-out

Check-out occurs during the date/time of departure listed in the intern’s housing agreement.

To check-out, interns need to do the following:

  • Remove all personal items from your living area, and clear out their campus mailbox (mail is not forwarded, but first class mail is returned to sender).
  • Leave the living area in a reasonably clean state. A thorough cleaning is not expected, as our cleaning contractors assess the rooms. However, we ask that all trash be removed from the suite before intern departure, and that any known damages are reported to the office via email in advance of check-out.
  • Our check-out process is paperless. Interns simply return their temporary ID card to the Lodge with the intern in the office.
  • Once a check is submitted to the office for rent, we are unable to make any adjustments or prorate the check that has been submitted. Therefore, if you want to leave earlier in a month, we cannot adjust the rent payment.
  • Each corporate intern needs to return their temp card in person and will get an email confirmation of the date/time of their departure.

Need to leave earlier than your initially planned check-out time? Interns must notify us via email at corpintern@ramapo.edu no later than July 1st and at least fourteen (14) calendar days in advance of your new check-out date and your bill will be adjusted for an earlier date of departure.

Otherwise, your bill will remain as indicated in your initial Housing Agreement even if you check-out earlier. Although we allow for one departure adjustment to be made as a courtesy (for prorating purposes), as continued changes to scheduling can lead to an additional cost to the College, there is a $50 late processing fee for each subsequent or late request to adjust the departure date.

Room Inspections

During the summer, staff members will conduct “plain view” inspections of all apartments, including bedrooms and bathrooms, to ensure that there are no situations negatively impacting the health and safety of our guests.

Although we cannot share exact inspection times, inspection date ranges are listed on our timeline.

Fines starting from $50 per violation/incident will be issued if College policy violations are found. Refer to the list of prohibited items in this Guide for more details. Repeat violations may result in cancellation of the housing contract.

Lock-Outs

It is very important to carry your apartment access card (key) with you at all times. However, in the event that you are locked out of your residence, you must follow these procedures:

  • During regular operating hours (Monday through Thursday, from 9:00 AM – midnight) go to the Hall Office
  • During hours that the College is closed, please call Public Safety at 201-684-6666.

Lost Apartment Access Cards (Keys)

If you lose your access card, you must notify a staff member or Public Safety immediately. This will ensure that we can lock out access to that card, and code you a new card to replace it.

Replacement of a lost access card will cost $15 to encode another access card.

Rent Collection

The specific deadlines to pay your rent are listed on our timeline. Rent is collected at the College Park Apartments Hall office, located in the Lodge.

It is expected that payment be made on time. Certified check or money orders may be required for payment after receipt of any “bounced check.” In addition, there is a $50 bounced check fee.

Housing in The Village apartments offers residents convenient, modern amenities. Below are just a few of the attractions of The Village residences.

  • Air conditioning
  • High-speed internet/WiFi access
  • Cable television access with premium movie channel
  • Laundry room (free)
  • Smoke-free environment
  • Carpeted bedrooms
  • Sprinkler systems for fire protection
  • Mail room with resident mailboxes
  • 24-hours Public Safety Office

Housing options are available to meet a variety of accessibility needs. Persons with special accessibility needs should explore what our facilities have to offer prior to applying for housing.

Each apartment accommodates up to four adults in separate single bedrooms, sharing common areas.

Although interns are expected to independently maintain the cleanliness of their housing assignments on a regular basis, all apartments have been cleaned by housekeeping personnel prior to check-in.

On Campus Services

ATM Access

TD Bank ATMs are located on campus outside the Office of Student Accounts, as well as the Atrium dining area.

Cable Television

Cable access is free of charge on campus.

TV requirements and programming info can be viewed here. Once your TV is up and running, our channel guide should help you find what channels you are looking for.

If you experience a problem with your cable, please contact our staff.

Internet Access

Each apartment, including each bedroom, has Ethernet ports and WiFi.

Once interns receive their user ID upon check-in, they should visit the email activation page from a Ramapo College computer that already has a Ramapo internet connection.

Interns are not given Ramapo College email accounts, and are expected to use their provided email addresses for regular communication with our office.

Interns also have access to computer labs located in the academic building on campus.

Dining Services

Dining on-campus during the Summer will be at the Atrium located in the Student Center building. Meals can be purchased à la carte. There are limited hours of operation which will also be posted here. As all Village suites have a stove/oven/microwave, interns may also cook within their own apartments.

Fitness Center

The Bill Bradley Sports and Recreation Center is located at the front entrance of the campus and The Resident Activities Center. There will be limited hours during the Summer, which will be updated here. If interested in purchasing a summer membership, Corporate Interns are charged a $25 fee. Laundry

The laundry room is located in the Thomases Commons, with machines that are free for all Corporate Interns. Your suite access card is required for entrance to the laundry room.

Mail Services

During the Summer, mail is received Monday through Thursday at the Office of Residence Life. It is sorted and placed in your mailbox by staff. You may retrieve mail from your assigned mailbox, located in the Thomases College whenever the building is open. There is no outgoing mailbox on campus.

Please note: No mail will be forwarded at the conclusion of your stay, so it is very important that you notify your correspondents of the exact date of your departure. Mail that arrives on Friday and Saturday is not delivered until the following Monday, as it must be processed by Central Receiving.

We recommend that our interns direct any timely mail to their corporate site, to help prevent delays.

Packages

Interns who receive packages will be emailed by our staff. Packages may be picked up during office hours, or by contacting the RA On-duty between 8 PM and 10 PM.

Although packages may be marked as delivered once delivered to Ramapo’s Central Receiving, there may be a delay before they are brought to the office, based on College operating hours.

Interns will be notified directly by our staff when packages arrive to the office.

We recommend that our interns direct any timely mail to their corporate site, to help prevent delays.

Parking

If you will be parking a vehicle on campus you must have a Summer parking permit for your car. With a valid parking permit, you are permitted to park in the Village lots. Please adhere to all posted campus parking regulations in order to avoid parking citations. No parking or driving is permitted on any of the walkways immediately outside of the apartments.

Repairs

If something in your apartment needs to be repaired, please email corpintern@ramapo.edu. Indicate your name, apartment location, preferred phone contact number, and a description of the repair needed. If it is a maintenance emergency please contact Public Safety at 201-684-7432.

Health Services

Ramapo College student Health Services are not available to Corporate Interns. However, EMT can be dispatched by Public Safety to respond to anyone who has a medical emergency on campus. For other medical concerns, interns may consider contacting local private health service providers (such as Mahwah Medical).

Trash

Please empty all trash in the dumpsters located near your building. Recyclables are not collected during the summer, although there are dumpsters labeled for recycling in the Village.

Backup Generators and Power Outages

The Village has an emergency generator that supports outside and inside lighting during power outages. If any issue should occur with the generator during a power outage, apartments may experience complete darkness during these times. College staff responds in such cases to remedy power outages as soon as possible. Residents should be prepared with a flashlight and fresh replacement batteries. The College is not responsible for spoiled food due to refrigerator power failures and/or other unforeseen circumstances. Residents are encouraged to consider private renter’s insurance policies. Be sure to have flashlights handy as candles are prohibited.

Policies

This section is intended to be a brief overview of some of the main policies of the College. It is certainly not all-inclusive. If you are in doubt as to whether or not some behaviors or items are prohibited, please ask our staff. Corporate Contacts may be notified of their interns’ behavioral concerns, including violations of Ramapo College policies and procedures.

Alcohol

The entire Ramapo College campus is designated “dry” for the Summer. This means that alcoholic beverages are strictly prohibited on campus, regardless of age.

Candles and Incense

Due to fire safety regulations and tragedies related to poor fire safety practices, candles and incense are prohibited from all residences. Candles are not permitted for any purpose. This includes the prohibition of decorative candles, previously lit candles, and even unlit candles and/or candles still wrapped in their original plastic covering or box. Violations will not be tolerated. Confiscated candles will not be returned.

Cooking Appliances

Most common household cooking appliances are permitted in the apartment within reason. Outdoor grills, propane gas containers, and other fire hazards are prohibited.

Fire Alarms/Exits

You must exit the building whenever you hear the fire alarm sound. Any malicious activation of a fire alarm will be prosecuted. Avoid behaviors that might unintentionally activate fire alarms, such as excessive steam from the shower, or overcooking foods in the cooking appliances in the apartment. These unintentional fire alarm activation may result in fines ranging from $50 to $250 per occurrence, depending on the circumstances involved.

Halogen Lamps

These lamps are considered to be a fire hazard and are not permitted in the residences. Some newer models of halogen lamps may not look like halogen lamps. You are responsible for making sure you know what type of lamp you bring to campus. The College may impose a $50 fine for possession of each halogen lamp. Prohibited items will be confiscated.

Furniture

Your apartment is furnished for four residents. No furniture may be removed or stored outside the apartment. All furniture must stay in the apartment and/or bedroom.

Guests

You are responsible for the behavior of your guests/visitors at all times on campus. Overnight guests are not permitted to stay more than 3 consecutive nights. Your apartment suitemates must all agree to allow your guests permission to stay overnight. If needed, you may be required to obtain all signatures on the guest-pass and submit it to the hall office located in the Thomases Commons building.

Only same-sex persons are assigned to reside in a housing assignment/apartment. Upon early request, opposite-sex interns who wish to live in separate apartments in closer proximity to one another may be accommodated, prior to the day of check-in.

Illegal Drugs

Federal and State laws as well as College policies prohibit the possession, use, distribution, and/or sale of illegal drugs anywhere on campus. Criminal behaviors will result in eviction and arrest. There will be no “due process hearings.”

Noise

Quiet hours are in effect during the summer. Noise levels must be contained within your apartment. Quiet hours are as follows:

  • Sunday – Thursday: 11 PM – 8 AM
  • Friday – Saturday: 1 AM – 12 PM

Violators may be documented, charged with the violation, and referred to the Area Director for a judicial conference. Please note that this is a College campus where undergraduate College students also reside. If noise levels ever become a burden, interns may contact Public Safety at 201-684-6666. Our staff will address noise violations as they are brought to our attention.

Courtesy quiet hours are in effect 24-hours a day, 7-days a week. Failure to comply with a reasonable request to reduce noise may be treated as a quiet-hours violation.

Pets

No pet animals are permitted in campus housing during the summer session.

Windows/Screens

You are not permitted to remove any apartment or bedroom window screen. In addition you are not allowed to enter or exit any apartment through a window. And you may not throw any objects out of a window.

Any violation of College policy may result in fines for $50 or more per incident and other charges for costs associated with the violation such as repairs and/or other associated expenses.

The policies listed herein are intended for Summer Corporate Interns and therefore supersede all other College housing policy documents.

Regular Maintenance Information

Please be aware that during the Summer, Ramapo College takes the time to maintain our facilities. Therefore, certain construction and maintenance work may be conducted in and around your living unit at various times of the day, throughout the entire summer. There may be times when you hear sounds emanating from such work. The Office of Residence Life will do all that we can do to maintain a reasonable level of comfort for all residents.
