These guidelines expand upon the <a href=\"https:\/\/www.ramapo.edu\/social-media\/social-media-policy\/\">Social Media Policy<\/a> and Procedures that were revised in October 2023.<\/p>\n<div class=\"collapsableContent\" tabindex=\"0\"><div class=\"collapsableTitle\"><span class=\"fa-stack\"><i class=\"fa fa-circle fa-stack-2x\"><\/i><i class=\"fa fa-chevron-down fa-stack-1x fa-inverse\"><\/i><i class=\"fa fa-chevron-up fa-stack-1x fa-inverse\"><\/i><\/span>Guidelines for Posting as a Social Media Manager on a Affiliated College Account<\/div><div class=\"c_content\">\n<p><span style=\"font-weight: 400\">If you have been designated as a social media manager for an Affiliated College Account that is listed on the Official tab for an <\/span><span style=\"font-weight: 400\">academic program, department, school, student service, and\/or office, here are guidelines to follow<\/span>:<\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Have a plan in place when managing the account(s) prior to opening or before resuming content (if content is paused between semesters). The following parties must be involved for management of the account.<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Account manager\/admin: The account(s) must be monitored regularly by a full-time Ramapo College employee, who should be the account\u2019s main manager\/admin. If needed, secondary admins can also help manage or act as back-ups for the accounts; these should be full-time employees as well.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Secondary admins, such as Coordinators, can also assist but the main manager\/admin must be the main person responsible for managing and monitoring the accounts. Coordinators can be student staff members and must be supervised by the account manager.<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Please review the \u201cGuidelines for Hiring\/Selecting a Social Media Coordinator\/Admin for an Affiliated College Ramapo-Affiliated Account for Schools, Departments, Centers, Academic Programs, etc.\u201d for further clarification between these roles for full-time employees and student staff on your team.\u00a0<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Unit Supervisors should be aware of how the accounts are running and determine the goals and strategic vision of the accounts for their unit.\u00a0<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Account login information must be stored and shared with the following parties:<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Office of Communications &amp; Public Relations<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Unit supervisor<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Designated account admin (employee)<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Account coordinator<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Login information must be stored within the unit by the account\u2019s manager and any designated back-up or secondary managers\/coordinators. The Unit Head or Supervisor MUST also have access to any College-affiliated accounts in their area. Finally, this login information must also be shared with OCPR for back-up and support.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Follow the <\/span><a href=\"https:\/\/www.ramapo.edu\/policies\/policy\/responsible-use-of-electronic-communication\/\"><span style=\"font-weight: 400\">Responsible Use of Electronic Communications Policy<\/span><\/a><span style=\"font-weight: 400\"> as outlined previously by the College.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Be authentic when creating a new social media account regarding the College, such as for departments, clubs, organizations or areas of study.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Represent the College and its community by linking back to the appropriate webpage or connection to Ramapo.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Have a strategy in place for potential issues that could arise.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Keep your audience in mind when posting and do not spam followers\/friends by over posting or sharing spammy content.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Use visuals and keep posts concise \u2013 users respond more to photos and videos than wordy status updates. With the rise of mobile usage, keep in mind that less is more when users are viewing posts on their mobile devices.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Have fun and be you! It\u2019s okay to show personality when engaging on social media.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Employees<\/b><span style=\"font-weight: 400\">: Be mindful of the Code of Professional Responsibility.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Students<\/b><span style=\"font-weight: 400\">: Be mindful of the Code of Conduct outlined in the <\/span><a href=\"https:\/\/www.ramapo.edu\/student-conduct\/\"><span style=\"font-weight: 400\">Student Handbook<\/span><\/a><span style=\"font-weight: 400\">.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Be aware of and follow FERPA and students\u2019 privacy. The Family Educational Rights and Privacy Act of 1974 protects the privacy of student education records. For more information, please visit: <\/span><a href=\"https:\/\/www.ramapo.edu\/registrar\/ferpa\/\"><span style=\"font-weight: 400\">ramapo.edu\/registrar\/ferpa\/<\/span><\/a><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Content shared on social channels should not disclose any private or confidential information about the College and the College community.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">You are responsible for any and all messaging that you write and post. If anything inappropriate gets communicated, it may lead to disciplinary action with your supervisor, <\/span><a href=\"https:\/\/www.ramapo.edu\/student-conduct\/\"><span style=\"font-weight: 400\">Office of Student Conduct<\/span><\/a><span style=\"font-weight: 400\"> or <\/span><a href=\"https:\/\/www.ramapo.edu\/poerd\/\"><span style=\"font-weight: 400\">People Operations and Employee Resources Department<\/span><\/a><span style=\"font-weight: 400\">.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">In the event negative comments are posted to any of your affiliated accounts&#8217; posts, DO NOT DELETE THEM OR THE POST ON WHICH THE COMMENT WAS MADE. Immediately contact the Office of Communications &amp; Public Relations for guidance.\u00a0<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">When comments incite violence, are threatening, include hate speech, as examples, the \u201chide\u201d feature on platforms that have it (Instagram and Facebook, as examples) can be used. OCPR might direct you to do this (or more, depending on the severity of the situation).<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">When a comment is hidden, the original poster can still see them but the rest of the public cannot.<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<p><span style=\"font-weight: 400\">If you have questions about the above, please contact OCPR at: <\/span><a href=\"mailto:socialmedia@ramapo.edu\"><span style=\"font-weight: 400\">socialmedia@ramapo.edu<\/span><\/a><\/p>\n<\/div><\/div>\n<div class=\"collapsableContent\" tabindex=\"0\"><div class=\"collapsableTitle\"><span class=\"fa-stack\"><i class=\"fa fa-circle fa-stack-2x\"><\/i><i class=\"fa fa-chevron-down fa-stack-1x fa-inverse\"><\/i><i class=\"fa fa-chevron-up fa-stack-1x fa-inverse\"><\/i><\/span>Guidelines for Posting as an Individual About the Ramapo Community<\/div><div class=\"c_content\">\n<p><span style=\"font-weight: 400\">Anyone affiliated with and\/or posting to or about Ramapo as an individual. This includes students, employees (staff\/faculty), community and anyone posting to or about the College:<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Think before you post \u2013 before posting anything on social media, especially in regards to the College or members of the College community, take a moment to consider the impact of your post. Think of who could be reading your posts \u2013 whether now or later down the road.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Be authentic and transparent \u2013 do not create accounts under false names and represent yourself inaccurately.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Avoid infringement on copyrighted materials, including official logos of the College. Any unauthorized usage of logos and other copyrighted material will not be tolerated. The account(s) in question will be contacted to remove immediately.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Remember content can be shared across multiple platforms \u2013 even private accounts can have content shared publicly, especially due to screenshot capabilities on computers and mobile devices. Anything you post has the potential to be reposted or shared.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Be respectful and promise to do no harm \u2013 please do not post anything derogatory or offensive about another member of the Ramapo College community.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Any posts that may represent a threat or harm to anyone at Ramapo College will be taken seriously. <\/span><a href=\"https:\/\/www.ramapo.edu\/publicsafety\/\"><span style=\"font-weight: 400\">Public Safety<\/span><\/a><span style=\"font-weight: 400\"> and\/or <a href=\"https:\/\/www.mahwahpd.org\/\">Mahwah Police<\/a> may be contacted and action may be taken to protect the college community.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">If you are an employee of the College, make sure that you accurately represent your job title and description in regards to posting about your employment on professional networking sites such as LinkedIn.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Be mindful not to take the College voice when posting about Ramapo College. You are encouraged to repost\/reshare\/link to official College communications and\/or webpages to disseminate information. Taking on the College\u2019s voice can be misleading and misrepresenting yourself as an official spokesperson of the institution.<\/span><\/li>\n<\/ul>\n<p><span style=\"font-weight: 400\">If you have questions about these guidelines, please contact OCPR at: <\/span><a href=\"mailto:socialmedia@ramapo.edu\"><span style=\"font-weight: 400\">socialmedia@ramapo.edu<\/span><\/a><\/p>\n<\/div><\/div>\n<div class=\"collapsableContent\" tabindex=\"0\"><div class=\"collapsableTitle\"><span class=\"fa-stack\"><i class=\"fa fa-circle fa-stack-2x\"><\/i><i class=\"fa fa-chevron-down fa-stack-1x fa-inverse\"><\/i><i class=\"fa fa-chevron-up fa-stack-1x fa-inverse\"><\/i><\/span>Guidelines for Hiring\/Selecting a Social Media Coordinator for an Affiliated College Account for Schools, Departments, Centers, Academic Programs, etc.<\/div><div class=\"c_content\">\n<p><span style=\"font-weight: 400\">Here are guidelines for you to have in mind when hiring or selecting someone to run your Affiliated College account(s) for your department\/, unit\/office, etc. They may run the account as a coordinator, and can be a full-time employee or student employee.<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><b>Familiarity with Social Media<\/b><span style=\"font-weight: 400\">: Make sure the candidate you hire\/select is familiar with your organization\u2019s current social media platforms. If they\u2019re not familiar with a certain platform, are they willing to receive training on it? Is the candidate an employee or a student? What level of access should they have to manage and post on the account(s)?<\/span><\/li>\n<li style=\"font-weight: 400\"><b>What is a Coordinator? <\/b><span style=\"font-weight: 400\">A coordinator helps to facilitate the gathering of content materials, writes captions, and aids in content and posting plans. They may or may not have access to post directly on the accounts. This person <\/span><span style=\"font-weight: 400\">must<\/span><span style=\"font-weight: 400\"> be under the supervision of a Ramapo College employee, ideally the manager or supervisor of the account(s).If the person is a student, they should still be under the supervision of a Ramapo College employee and be given the unit\u2019s expectations and social media goals\/strategy prior to starting.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>What is an Admin\/Manager? <\/b><span style=\"font-weight: 400\">An admin (also called a manager) is the main person running and managing the accounts \u2013 creating content, creating a posting schedule, reviewing posts to ensure goals are being met, analyzing where changes could be made, and engaging with followers. The admin has full access to post directly on the accounts.\u00a0 This person must be a full-time employee of the College.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Goals\/Messaging: <\/b><span style=\"font-weight: 400\">Work with them to understand your organizational goals. What message(s) do you want to convey on the social media account(s)? What kinds of content can help you reach your goals?<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Clear Expectations: <\/b><span style=\"font-weight: 400\">What do you expect in regard to coordinating the content on the account(s)? How often should they post? Who reviews their work? Do they need approval before posting? Will they receive training and education on best practices?<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Passwords: <\/b><span style=\"font-weight: 400\">Maintain and, if needed, update the passwords for the account to ensure no one outside of your unit has access.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Best Practices: <\/b><span style=\"font-weight: 400\">Once the new coordinator\/admin has access, they should schedule a meeting with OCPR<\/span> <span style=\"font-weight: 400\">(<\/span><a href=\"mailto:socialmedia@ramapo.edu\"><span style=\"font-weight: 400\">socialmedia@ramapo.edu<\/span><\/a><span style=\"font-weight: 400\">) <\/span><span style=\"font-weight: 400\">to become familiar with social media best practices and expectations of running an <\/span><span style=\"font-weight: 400\">Affiliated College<\/span><span style=\"font-weight: 400\"> account.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Social Media Group (SMG): <\/b><span style=\"font-weight: 400\">As specified in the Social Media Policy, <\/span><span style=\"font-weight: 400\">account administrators are required to receive training and information related to industry social media standards, best practices, policy or procedural changes, and brand\/design standards as needed or determined by OCPR. One way to do this is to attend <a href=\"https:\/\/www.ramapo.edu\/social-media\/social-media-group\/\">Social Media Group<\/a> Meetings.<\/span> <span style=\"font-weight: 400\">These can also help with communications and collaborations across campus, and enable networking with other members, when applicable.<\/span><\/li>\n<\/ul>\n<p><span style=\"text-decoration: underline\"><span style=\"font-weight: 400\">Repeat this process each time you choose a new social media coordinator\/admin\/manager.<\/span><\/span><\/p>\n<\/div><\/div>\n<div class=\"collapsableContent\" tabindex=\"0\"><div class=\"collapsableTitle\"><span class=\"fa-stack\"><i class=\"fa fa-circle fa-stack-2x\"><\/i><i class=\"fa fa-chevron-down fa-stack-1x fa-inverse\"><\/i><i class=\"fa fa-chevron-up fa-stack-1x fa-inverse\"><\/i><\/span>Guidelines to Follow Best Practices on Social Media<\/div><div class=\"c_content\">\n<p><span style=\"font-weight: 400\">We highly recommend following certain best practices when managing your Affiliated College accounts &#8211; whether your account is recognized under the Official tab or the <\/span><span style=\"font-weight: 400\">Affiliated<\/span><span style=\"font-weight: 400\"> tab on the College\u2019s Social Media Directory. This will ensure that you\u2019ve set yourself up for success, and can help you maintain a clear vision for the accounts as well.<\/span><\/p>\n<ul>\n<li style=\"font-weight: 400\"><b>Review the <\/b><a href=\"https:\/\/www.ramapo.edu\/social-media\/resources\/\"><b>resources page<\/b><\/a><span style=\"font-weight: 400\"> for tips on how to post effectively on your Facebook,\u00a0 X (formerly Twitter) and\/or Instagram accounts.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Review <\/b><a href=\"https:\/\/www.ramapo.edu\/social-media\/accessibility-guidelines-for-social-media\/\"><b>accessibility standards<\/b><\/a><span style=\"font-weight: 400\"> for social media to make sure you know how to add\/write alt text and video captions, where applicable.<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">If you need more in-depth explanations, schedule a one-on-one meeting with OCPR: <\/span><a href=\"mailto:socialmedia@ramapo.edu\"><span style=\"font-weight: 400\">socialmedia@ramapo.edu<\/span><\/a><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><b>Designed images<\/b><span style=\"font-weight: 400\"> (such as repurposed flyers\/handouts\/posters designed specifically per each platform\u2019s dimensions\/requirements) work well on Facebook, X (formerly Twitter) and Instagram Story. LinkedIn also does well with designed images in posts.<\/span><\/li>\n<li style=\"font-weight: 400\"><b>Real photography<\/b><span style=\"font-weight: 400\"> (and videography) works best for Instagram Feed, and is also effective on X (formerly Twitter), Facebook and LinkedIn.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">If posting a <\/span><b>video<\/b><span style=\"font-weight: 400\">, X (formerly Twitter), Facebook and LinkedIn can show videos filmed vertically or horizontally.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">If posting a <\/span><b>video<\/b><span style=\"font-weight: 400\"> on Instagram, that platform prefers videos filmed vertically. If a video is shot horizontally, Instagram will show the video with black bars on the top and bottom. This is not ideal.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Have a <\/span><b>strategy and content plan<\/b><span style=\"font-weight: 400\"> in place \u2013 to get started, you should ask yourself the following:<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">What are our goals?<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Who will develop or provide the content?<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">How often do we want to post or will we be expected to post?<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Will we need to rely on anyone outside of our unit\/club to provide us with any of our content needs? How can\/will this affect our ability to meet our posting plans?<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Is this an account that can lie dormant over the summer break, or do you need to plan ahead to have content out?<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">What visuals do you expect to use \u2013 photography, videos, designed images?<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Determine someone who can be a back-up in case of emergencies or time off.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Have a succession plan in place in case the main admin is out or leaves. Maintain updated login records.<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Need more assistance? Schedule a one-on-one meeting with OCPR: <\/span><span style=\"font-weight: 400\">socialmedia@ramapo.edu\u00a0<\/span><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">If you\u2019re posting about an event, deadline or topic where you plan to send people to a <\/span><b>website<\/b><span style=\"font-weight: 400\">:<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">For X (formerly Twitter), Facebook and LinkedIn: <\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Add the website\/link\/URL in the caption of your post. Having the webpage typed out on your visual is not enough. Help your audience to do what you\u2019re asking in the least amount of steps.<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">For Instagram Feed: <\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Add the website\/link URL to one of your five (5) \u201clink in bio\u201d options and use that phrase in your caption. A website is <strong>not<\/strong> clickable in an Instagram feed post.<\/span><\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">For Instagram Story: Use a link sticker to add a clickable link to your visual. You can customize the text that\u2019s seen with the link \u2013 it\u2019s ok to edit it to make it more personable or a short call-to-action.<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Need to learn how? Schedule a one-on-one meeting with OCPR: <\/span><a href=\"mailto:socialmedia@ramapo.edu\"><span style=\"font-weight: 400\">socialmedia@ramapo.edu\u00a0<\/span><\/a><\/li>\n<\/ul>\n<\/li>\n<\/ul>\n<\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Do not post a visual on social media with a <\/span><b>QR code<\/b><span style=\"font-weight: 400\">. A large majority of your followers\/audiences are viewing your content on a mobile device and cannot scan the code showing on their screen. <em>This is why we recommend using visuals specifically designed for social media.<\/em><\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Keep the <\/span><b>algorithms<\/b><span style=\"font-weight: 400\"> in mind \u2013 your post may or may not show to your followers right away.<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">Use descriptive language if your post is affiliated with a specific event. \u201cJoin us today!\u201d is not as helpful as, \u201cJoin us tomorrow, May 11!\u201d<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">If you\u2019re posting something that is happening soon on Instagram, consider if it\u2019s better to post in the Feed or in the Story.<\/span><\/li>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">If promoting an event\/deadline, give your audience\/followers enough notice \u2013 does this mean you need to post a week or two in advance? A few days beforehand? Day of? Immediately contact the Office of Communications &amp; Public Relations for guidance.\u00a0<\/span>\n<ul>\n<li style=\"font-weight: 400\"><span style=\"font-weight: 400\">When comments incite violence, are threatening, include hate speech, as examples, the \u201chide\u201d feature on platforms that have it (Instagram and Facebook, as examples) can be used.
