Introduction
The Foundation’s mission is to provide the resources that make the difference in Ramapo College’s quest for educational excellence. One aspect of this mission is a competitive grant program, which provides funds for projects that support the mission of the College in areas of interdisciplinary, international, multicultural, and experiential education.

General Guidelines For Preparing Your Application:
- If you are requesting funding for a conference that takes place during the summer submit your application in the Fall Cycle.
- New applicants are advised to contact Ron Kase in the Grants & Sponsored Research office to discuss their project and review application procedures.
- Include information on what makes the project innovative or unique in its field. This will help the committee better evaluate the request.
- Attach a copy of the brochure or flyer for any conference travel request. All travel should be coach class and the best available airline rate or mode of transportation.
- Your application will be given the best evaluation if a detailed budget breakdown is provided (without a complete budget, the Committee cannot make an evaluation).
- Requests for travel should only include conference fees, transportation and accommodations.
- Stipends to College employees will be paid through the Payroll Office and only after the College special payment form has been completed with approval signatures (approvals for special payments must be obtained before work is performed).
- Any Ramapo students being paid must complete employment paperwork with the Experiential Learning Coordinator, Dianne McNally in the Cahill Center (Room C209) before they begin work.
- Equipment purchased with Foundation funds becomes the property of Ramapo College. It is the recipient’s responsibility to purchase and register equipment according to Ramapo College policies and procedures. If you are unsure of these guidelines, please contact the Director of Purchasing.
- Funds must be expended by June 30, 2008 deadline.
Not Funded:
- Capital projects will not be funded.
- Release time should not be requested of the Foundation.
- Funds for meals should not be part of your request.
The Allocations Committee will consider and award up to three high-profile unit grants in an academic year. Eligible divisions/units include: Anisfield School of Business, School of American and International Studies, School of Contemporary Arts, School of Social Science and Human Services, School of Theoretical and Applied Science, Potter Library, Academic Affairs, Administration and Finance, Enrollment Management, and Student Affairs. Each division/unit listed may submit only one request approved by the dean or vice president. Unit grant awards can be between $3,000 and $9,000.
There are two forms: one for unit grant requests and one for all other requests. Specific guidelines and budget outline are supplied on each form. Applications may also be submitted on-line.
Online Unit Grant
If you submit on-line you must confirm with the Foundation Office that it is received and a hard copy of the cover page with signatures should be forwarded. As well, the letter of recommendation must be emailed to esenese@ramapo.edu or a hard copy sent. Requests will not be reviewed unless all parts are received in the Foundation by 4:30 p.m. the day of the deadline.

The members of the Allocations Committee of the Board of Governors review all proposals, and decide on award amounts. Input from Officers of the College may be requested and considered; however, it is not determinative. Please note that many more requests are received than can be funded.

Each awardee must submit a final report to the Foundation after the completion of the project. The report will provide descriptive information about the project or activities funded. The Foundation may provide information from the final report form to the Ramapo College Office of Communications and Public Affairs for publicity purposes. Faculty and staff who do not submit a final report will not be considered for future funding.

Please acknowledge the Foundation’s support in any printed material related to a funded project. The recommended wording is: “This work was supported (in whole or in part) by a grant from the Ramapo College Foundation.” Grantees are requested to provide the Foundation Office with four reprints within one month of publication to be shared with the Allocations Committee.
Your application must contain all of the following:
- Completed application title page and budget form. On the budget form please list a detailed breakdown of actual figures or projections, including any revenue received or fees charged, and any matching funds secured. A list of Banner spending account sub codes is attached.
- Approval Signature: Applications from the faculty should seek and secure the dean’s approval. Applications from administrators and staff should seek and secure the unit head’s approval. Applications from students should seek and secure the dean’s approval for academic projects or clubs, all other student applications should seek and secure the vice president for student affairs' approval (a grant cannot be reviewed without the appropriate approval).
- Executive summary (1 paragraph): Please summarize (in approximately 50 words or less) your goal, objectives and possible outcomes. Briefly state how this impacts the College.
- Project narrative (2-3 pages): Explain the project, using the following headings: need, goals, plan of action, how the project meets foundation priorities, outcomes expected. Include what is unique about your field that the committee should know in judging your project.
- Letter of endorsement (1 page): An endorsement letter can be from the dean, a colleague, or any individual who can present a strong case for your funding need. The letter should not be from an officer of the College. Your proposal will not be considered without this item.
- If funding is requested for conference travel, please attach a copy of the brochure or flyer for the conference. (You may attach last year’s if this year’s has not been released.)
- If submitting on-line, you must still submit the cover sheet with original signatures to the Foundation Office. Call Ellen Senese at (201) 684-7612 or email esenese@ramapo.edu by the deadline to make sure all of your proposal materials have been received.
